Privacy Policy

Effective Date: September 2, 2025

Calendar Project (“we”, “our”, “us”) values your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and share your data when you use our Calendar Project tool and related features, including event management, AI-assisted responses, Focus Mode, Just Chat, and Doc Live.

By using our services, you acknowledge and agree to the practices described in this policy.

1. Information We Collect

We collect the following categories of information when you use our app:

  • Account Information
    When you sign up, we collect your email address and any account credentials you provide.
  • Event & Calendar Data
    Events, notes, and schedules you create are stored securely in our database (Firebase). If you delete an event or document, it is permanently deleted and not recoverable.
  • AI-Generated Data
    To provide AI responses, Smart Plans, document feedback, or chat suggestions, we send your content data to the OpenAI API. This includes:
    • Event details and descriptions
    • Document text
    • Chat messages
    • Uploaded context such as files, URLs, or images
    We do not send your email address or other personal account data to OpenAI.
    This data is retained as needed to generate AI responses, maintain context, and provide continuity across interactions (for example, linked Smart Plans or multi-step responses).
  • Payment Information
    Payments are processed securely through Stripe. We do not store your credit card details. Stripe may collect and process billing data in accordance with their own Privacy Policy.
  • Analytics Data
    We collect limited, privacy-focused analytics (e.g., page visits, feature usage) to understand how our app is used and to improve functionality. We do not use advertising or marketing trackers.

2. How We Use Your Information

  • To operate and provide the calendar, event, and AI-assisted features
  • To generate AI responses, Smart Plans, and document assistance
  • To process payments via Stripe
  • To provide notifications and reminders for your scheduled events
  • To improve and maintain our services, including troubleshooting and analytics
  • To ensure security and compliance with legal obligations

3. Sharing Your Information

We only share your information with trusted third parties necessary to deliver our services:

  • Firebase (Google Cloud): For secure storage of account data, events, and documents.
  • OpenAI API: To generate AI-powered responses and suggestions based on your content.
  • Stripe: To process payments securely.

We do not sell, rent, or share your data with advertisers or third-party marketers.

4. Data Retention & Deletion

  • Your account and event data are stored securely while you maintain an account with us.
  • If you delete an event, plan, or document, it is permanently deleted from our systems.
  • AI-related content sent to OpenAI is retained as needed to provide responses, maintain context, and enable features like linked Smart Plans or Focus Mode continuity.
  • Your account data (including email) is stored until you choose to delete your account, at which point all account-related data is permanently removed.

5. Your Rights

As a UK/EU user, you have the following rights under GDPR:

  • Right to Access – Request a copy of the personal data we hold about you.
  • Right to Rectification – Correct inaccurate or incomplete data.
  • Right to Erasure – (“Right to be Forgotten”) Request deletion of your account data at any time.
  • Right to Restrict Processing – Limit how your data is used.
  • Right to Data Portability – Request to transfer your data to another service.
  • Right to Object – Object to how your data is processed.

6. Data Security

We take appropriate technical and organizational measures to protect your data, including encryption, secure hosting, and controlled access. However, no system is 100% secure, and we cannot guarantee absolute security.

7. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a new effective date.
